The HR manager can briefly talk about the recruitments – terms, selection and other HR functions. But, the preferences given by the HR manager should to converted into paper work or a computerized process.
Recruiting and hiring employee:
- Notice period for available position.
- List of advertisement.
- Check the list of interview.
- Confirm the education qualification.
- Immigration status.
- Check employer insurance statement.
- Telephonic reference.
Procedure for new employee:
- Employee authorization form.
- Verifying employees background.
- Prepare new list of employee.
- Forms for tax and data related to new employee.
As new employee is hired, keep their record:
- Employee personal data.
- Time record on daily basis.
- Maintain weekly time sheet for hourly employees.
- Overtime and expenses records.
- Request for leave and vacation.
- Promotion after examining their performance.
The above list requires certain policies, procedure and paperwork, in running HR business. There should be a systematic procedure for handling paper work. HR managers can keep the records in memory or write each action in separate memo and maintain a folder for individuals. In case when there are more than one or two workers, then you need to create standardized forms.
Small firms can handle records by following HR manual process. As the company grows, it has to adopt the computerized process to face the competition prevailing outside the company. For very small group of employees i.e., less then 10 employees, keep the standardized personnel form which includes all important aspects of recruitment selection, training, appraisal, safety process, etc.
Even in small firms, the number of forms required is large. A proper way to follow the HR manual process is to maintain a compilation form book and make separate folders for every individual employee.
Now a days, in India many companies design their own formats and use them.
